BRIEF 
The annual event is designed to connect 1,500 attendees, buyers, suppliers and other resource partners with certified minority, women and veteran-owned businesses. The event includes town hall sessions, business meetings, panel discussions, networking, VIP reception, industry group matchmaker and trade-show conference.

SITUATION
The client needed support with strategic meeting design to ensure the event aligned with the company’s mission and vision. They requested support in developing exhibitor load in instructions, developing workshop topics, logistics, venue selection, F&B, A/V, décor, entertainment, registration design and management, VIP gifts, room block management and onsite management and staffing. 

SOLUTION
The client hired The Harmon Group to help plan and execute their annual event. We worked with the team successfully interacting with the various internal departments including (marketing and communications) to determine the event’s theme, designed all marketing and promotional material for VIP gift, program book and other marketing material. We successfully secured and managed coordination of printing, A/V, entertainment and other vendors. The Harmon Group also developed and designed tradeshow floor plan with exhibitor booths and resource groups along with meeting room setup for workshops and breakout sessions. We also managed on-site registration and distribution of credentials for all guest (based on security level access from general attendees to Speakers and VIP guests).

RESULTS
Our ability to strategically plan and manage core areas of the event resulted in our team delivering a highly successful conference that exceeded client’s expectations.  

The fresh new topics for the session, increased attendance by 30% from the previous year. The redesign of the tradeshow floor proved to be successful.  We placed the buyer in the same location as their suppliers to encourage further engagement.  We successfully managed all tradeshow logistics which included developing a process for exhibitor load in and tear down. The project was on time and on budget.

We effectively managed VIP guest registration confirmations, changes and questions prior and during the event in a timely manner. We successfully coordinated a community service project that resulted in over 1400 school supplies being donated to a local school.
